Most trade jobs go to the first business that replies, not the best one. A Homeowner who sends three enquiries is usually booked before the second and third tradies have looked at their phone, and by the time you ring back that evening the job is gone. Speed is not a nice extra in this trade, it is the main thing being measured.
Nobody tells you that, because the jobs you lose this way never contact you again to explain why.
Why does the first reply usually win?
Because a Homeowner with a problem wants it to stop being their problem.
When someone sends an enquiry, they are not starting a careful comparison. They are trying to hand the job to somebody competent so they can go back to their life. The moment one competent person answers, the search is over. The other two enquiries become awkward loose ends they will ignore.
This is not about loyalty or price. It is about relief. Whoever provides it first is the one who gets paid.
Why are tradies slow to reply, even good ones?
Because the job and the phone cannot both have your attention.
You are on a roof. You are under a house. Your hands are full, or dirty, or holding something that will fall. You are mid conversation with the client in front of you, and answering a stranger's call would be rude.
So the missed call sits there. At five o'clock you have eleven of them, no idea which are jobs and which are suppliers, and you are tired. You get through four. The rest wait until tomorrow, and tomorrow they are gone.
None of that is laziness. It is the structure of the work. Which is why the fix has to be structural too, not "try harder to answer the phone".
What does a slow reply actually cost?
More than the job it lost.
The obvious cost is the quote you never gave. The bigger cost is everything behind it: the referral that client would have made, the repeat work in three years, and the review they would have left.
There is a second cost that is easy to miss. When you eventually do ring back, you are now the tradie who took a day to respond, and you are being compared against someone who answered in two minutes. You will be asked about price more aggressively, because nothing else about you stood out.
What can you actually do about it?
Four things, roughly in order of effort.
The first is a website that answers some of the questions before anyone has to ring. A site with a real page for each service, honest price ranges and a proper explanation of your process is already replying for you at eleven at night. That is most of what our A$500 Build does.
The second is a tap-to-call button on every page, so the enquiry becomes a call instead of an email that sits in a folder. A phone call is answered or missed immediately. An email gets read on Thursday.
The third is an automatic text back on any call you miss, so the person on the other end gets an immediate answer rather than silence. We wrote about that in missed call text back for tradies.
The fourth is a follow up system so the quotes you do send are not quietly forgotten. That is covered in follow up systems for tradie quotes.
Does answering fast mean quoting fast?
No, and confusing the two is where tradies get burned.
A fast reply is not a fast price. A fast reply is acknowledgement: yes, I got your message, here is when I can look at it, here is what I need from you. That takes twenty seconds and it removes the reason for the Homeowner to keep shopping.
Quoting properly still takes as long as it takes. Measuring up, checking access, pricing materials. Nobody sensible expects a real number in ninety seconds for a real job. What they expect is to know they have been heard.
Most tradies have this backwards. They delay the reply because they are not ready to quote, and lose the job before they ever quote it.
What about after hours enquiries?
They matter more than the business hours ones.
A Homeowner sitting on the couch at nine at night with a problem is the most motivated buyer you will get. They have time, they are thinking about it, and they are searching properly rather than in a rushed break at work.
If your only response channel is a phone that is off at nine, every one of those enquiries goes to whoever set something up. A Quote Request form on every page of a website, a text back on missed calls, and clear information written on the site itself all keep working while you sleep.
Frequently asked questions
How fast is fast enough to reply to a trade enquiry?
Within minutes beats within hours, and within hours beats the next day. There is no magic threshold, but the pattern is simple: the longer you take, the more likely somebody else has already answered.
Should I answer the phone while I am on a job?
Usually not, because the client in front of you is paying for your attention. The answer is a system that responds while you cannot, rather than choosing between the two.
Will a website really reduce how many calls I have to take?
It changes the calls rather than reducing them. People who have read your service page and your price range ring with fewer questions and are closer to booking, which makes each call shorter and more likely to turn into work.
Does Ampliia set up the automation as well as the website?
The website is what we sell from this site, at A$500 for the Setup Fee. Automation like missed call text back and follow up sequences is something we do build, and the place to talk about it is the Discovery Call.
